Your duties as a Newcastle landlord

Under the Gas Safety (Installation and Use) Regulations 1998, every gas appliance, fitting and flue in a rented property must be checked once a year by a Gas Safe registered engineer. A copy of the record goes to your tenants within 28 days of the check and to new tenants before they move in, and you keep the records for at least two years. Miss it and the result can be fines and prosecution.

In Newcastle lets that usually means a combi boiler and a cooker or hob, and in the bigger Victorian terraces of Jesmond and Sandyford sometimes a gas fire or two as well. Tenants, agents and the September rush

A lot of Newcastle tenancies start in September. Students arrive in Heaton, Jesmond, Sandyford and Fenham, and the new tenants need the record before they move in. That means July and August are the months to book, not the first week of term. Tell us the move in date and we plan the check around it.

We are used to working with letting agents. Send a list of addresses and key arrangements and we will work through it, returning each record to the agent as it is done. Where tenants are in place we contact them to agree a time, so you are not chasing anyone.

The check itself

We test each gas appliance in the property for gas rate and burner pressure, check the flue and how the products of combustion clear, confirm the ventilation to the room, prove the safety devices and look at the general condition. The gas pipework is tightness tested from the meter to every appliance, and the meter and emergency control are checked. Results and defects are written on the record for each appliance.

Tyneside flats

Heaton, Arthur's Hill, Benwell and Elswick are full of Tyneside flats, where an upstairs and a downstairs home share one building. Each flat normally has its own meter and boiler, but the gas pipe for the upstairs flat can run through the downstairs one, and the upstairs flue often sits under the eaves or goes through the roof. We follow the pipe from the meter to every appliance the flat uses and check the flue terminal outside, so the record covers the whole installation. HMOs

A licensed HMO in Jesmond or Sandyford gets the same gas check as any other let, but with five or six people using one kitchen the cooker, its hose and the ventilation get a closer look. The council can ask to see the record for a licensed HMO, so keep it with the licence paperwork.

If an appliance fails

When an appliance does not pass, we explain plainly what is wrong and what the regulations require us to do. Depending on how serious it is, the appliance may be turned off and labelled, and the tenants told not to use it until it is repaired. It is recorded as a fail on the record. We price the repair for you, and once it is done we retest so the record is clean.

Servicing at the same time

A safety check confirms the boiler is safe. A service keeps it running and keeps the warranty valid. Doing both in one visit means one access arrangement and one trip, which matters in a flat where getting hold of the tenant is half the job. My tenants move into a Heaton flat in September. When should the gas check be done? +
Before they move in, because new tenants must have a copy of the record before they move in. Book in July or August so the check is done and the record is ready ahead of the move date.
Is a Tyneside flat harder to certify? +

Yes, if it is due. The safety check proves the boiler is safe but does not clean it or protect the warranty. A service does both, from £80 + VAT, and doing it in the same visit saves a second access arrangement.
How long do I keep the record? +
At least two years. Give your tenants a copy within 28 days of the check and give new tenants a copy before they move in.
